Consultation and Enrollment Process

Initial Phone Consultation: During our initial phone consultation we will go through some of the basics of Medicare and discuss your needs and desires for the type of coverage that best suits you. The more you tell me about your current health status, medications, healthcare goals and concerns, the better I can advise you.

After an initial phone consultation, you can determine if you want to meet with me in-person or just handle everything over the phone.

Face-to-Face Is Ideal: If you live within 75 minutes of Charlottesville, then I am typically more than willing to drive and meet with you in your home or at a convenient, safe and somewhat quite location near you. 

That means, if you live in the following areas, I can come to your home:

  • Albemarle County and Charlottesville
  • Amherst County*
  • Augusta County and Staunton and Waynesboro
  • Buckingham County*
  • Culpeper County*
  • Fluvanna County
  • Goochland County*
  • Greene County
  • Louisa County*
  • Madison County
  • Nelson County
  • Rockingham County and Harrisonburg
  • Shenandoah County*

*During the Pre-Annual (October 1-14) and Annual Election Periods (October 15-December 7), it may not be possible to meet with you in-person if your county has an asterisk by it.

Over The Phone and Internet: More and more of my clients are opting for Over-The-Phone consultations and enrollments. If meeting face-to-face is not an option for you or for me, or, you just prefer to handle your enrollment over the phone and Internet, then you will need a unique e-mail address, access to the Internet and the ability to download PDF documents and view a video.

The SOA (Scope Of Appointment) Form

*Note: Prior to discussing any specific plan benefits, you must complete and sign the Medicare required Scope of Appointment (SOA) form and return it to me via e-mail. If appropriate, I can also send you what is called an e-signature form. This will be a link that you click on and follow the instructions to electronically/digitally signing. 

The SOA is a Medicare (CMS) required document that must be signed by a Medicare beneficiary prior to reviewing Medicare Part C and Medicare Part D plan benefits.

The purpose of the SOA is to disclose to a Medicare beneficiary:

  • The nature of the meeting (whether in person, over the phone or over the internet)
  • The products/plans that will be discussed
  • The status and roll of the insurance agent
  • That the agent may be paid based upon your enrollment into a plan

Per CMS: “The Centers for Medicare and Medicaid Services requires agents to document the scope of a marketing appointment prior to any individual sales meeting to ensure understanding of what will be discussed between the agent and the Medicare bene ficiary (or their authorized representative). All information provided on this form is confidential and should be completed by each person with Medicare or his/her authorized representative.”
